Introduction

JW Software specializes in insurance claims and policy management, supporting clients who lack a dedicated policy management system or rely on manual, in-house processes. They provide comprehensive software implementation, development, and support services. Based in St. Louis, their customers are typically business owners or department leaders within the insurance sector who are responsible for managing leads. Given the nature of their work, which includes managing sensitive personally identifiable information (PII), JW Software must adhere to strict compliance standards. With a small internal IT team of just three people, they sought a managed service provider to help drive operational efficiency and give added assurance to their team, their clients, and auditors.

Challenges

JW Software began working with TierPoint four years ago after facing recurring issues with a prior provider, especially regarding billing clarity and support responsiveness. According to CTO/CISO Austin Ehrhardt, billing had become so complex that he was spending 10 to 15 hours each month just to review invoices, with unexplained cost variances sometimes amounting to thousands of dollars. 

The company was seeking more than a standard infrastructure solution—they needed a managed services partner who could offer clear, consistent communication, assist with the adoption of new technologies, and support a compliance-focused environment. Previously, however, they found themselves contending with ongoing infrastructure instability and delays in receiving even basic support.  

“We expected a managed services partner to walk us through new solutions,” Ehrhardt said, “but we couldn’t even stabilize our core infrastructure.” TierPoint offered the transparency, reliability, and strategic partnership they were missing. 

Solution

Production workloads, client data, and development environments are maintained in a dedicated VMware private cloud at TierPoint’s Lenexa facility. This setup is completely separate from JW Software’s headquarters network and is designed to provide the robust performance and reliability needed by insurance claims professionals who depend on the platform for efficient, accurate service. 

Disaster recovery is handled from TierPoint’s Valley Forge facility, adding geographic diversity and resilience to the environment. The multi-tenant cloud approach means JW Software benefits from reliable failover capabilities without excessive costs. TierPoint also supports annual disaster recovery tests to ensure readiness and meet audit needs. 

With TierPoint’s Pure Storage solution, JW Software is able to fulfill long-term data retention obligations, often up to 10 years, using encrypted, immutable, and dedicated storage. This offering, combined with advanced firewalls, ongoing monitoring, and client-facing compliance resources such as SOC reports and data center tours, provides JW Software with a secure, scalable infrastructure well-suited to a compliance-focused software provider. 

Results

Since partnering with TierPoint, JW Software has experienced clear gains in security, scalability, operational efficiency, and especially in billing transparency. Previously, the billing process with their former provider was both time-consuming and unpredictable, with unexplained variances reaching thousands of dollars. Now, with TierPoint, billing is straightforward, predictable, and much easier to manage. “We now get clear answers in a day or two, and it’s just one less thing I have to chase down,” said CTO/CISO Austin Ehrhardt.

By transferring infrastructure and compliance duties to TierPoint, the company has avoided roughly $100,000 per year in costs that would have been spent managing hosting and audit tasks in-house. This has allowed JW Software’s small IT team to focus on delivering client services and driving development priorities, rather than being tied up with infrastructure and regulatory demands.

Migration to TierPoint marked a significant improvement over JW Software’s previous experiences. Led by TierPoint’s professional services team, the transition was executed on a VMware-based private cloud platform to ensure full compatibility with the company’s existing systems. The process began with a detailed assessment of JW Software’s environment, followed by comprehensive planning that addressed every aspect, from infrastructure provisioning to application dependencies and cutover sequencing. Legacy systems were reviewed and upgraded where needed, and all critical interdependencies were carefully mapped to ensure a smooth transition. An hour-by-hour migration plan was developed to guide the process, with a strong focus on minimizing outage windows and maintaining business continuity. During the cutover, each virtual machine was brought online methodically, with full validation to ensure all systems were functioning properly. “Everything that we moved over was pretty much ready to go on day one,” said Ehrhardt. “The precision, structure, and professionalism of the migration gave us immediate confidence in TierPoint as a long-term strategic partner.”

Disaster recovery has also proven to be reliable and easy to manage since implementation. JW Software conducts annual bubble tests of their DR environment and reports that each one has gone smoothly, with minimal issues and no major disruptions. These tests have become a trusted part of their audit process and a valuable proof point for clients who want assurance that their environments can be fully recovered. The consistency of TierPoint’s DR services has allowed the IT team to treat it as a “set it and forget it” function, requiring little intervention and providing ongoing peace of mind.

Customer support has been another standout strength for TierPoint. When the JW Software team needed to reconfigure backup services, they had direct access to a specialist. “We probably learned more about the backup solution in 30 minutes than we have in the last four years,” Ehrhardt added.
